How to set up Outlist
About ten minutes, then every screen knows what's out.
Create your venue
On any phone, laptop or tablet, go to outlist.pro, tap Get started, then New here? Create a venue. Give it a name and your first bar and kitchen, then choose a manager PIN. Keep the PIN to managers, because it unlocks setup.
Add your stations
In Manager setup → Stations, add each bar, each kitchen / pass, and any floor or host screens. Tick which kitchens each bar hears from. Floor screens can hear from kitchens and bars. Put the kitchen screen wherever 86s get called out, usually the pass.
Add the menu
In Menu, add your dishes and their sections (Entrées, Mains…). Bar items don't need setting up: the first time someone types "passionfruit", it's saved as a quick pick for next time.
Add Outlist to each tablet
So it opens full screen, with no browser bars. On each tablet, go to outlist.pro, then:
iPad: in Safari, tap Share → Add to Home Screen.
Android: in Chrome, tap ⋮ → Install app (or Add to Home screen).
From now on, open Outlist from its new icon. Do this before pairing, because an iPad's home screen app doesn't share its pairing with Safari. On a till, a normal browser tab is fine.Pair each screen
Open Outlist from its icon (or outlist.pro in the till's browser), tap Pair a screen and enter your venue code. You'll find it under Manager setup → Venue. Pick where the screen is. Each bar needs a Bar board. You can also add an optional Quick updates screen on the till's web browser.
Approve it
The new screen shows a short request code. A manager opens Manager setup → Screens, checks the code matches, and taps Approve. The screen opens by itself. Only approve screens you can see in the venue.
Get the screen ready
Keep it plugged in with the volume up, and stop it going to sleep (iPad: Settings → Display & Brightness → Auto-Lock → Never. Android: Settings → Display → Screen timeout → the longest option). At the start of each shift, tap Start shift so alerts can make a sound. Optional: if staff tend to wander off on the tablet, you can lock it to Outlist (iPad: Settings → Accessibility → Guided Access. Android: Settings → Security → App pinning). If someone does leave Outlist, just open it again from its icon and tap Start shift.
During service
- The kitchen taps a dish, then 86 it or Low. For Low, it can add how many are left.
- Bars tap + Update board on their board to 86 their own stock (drinks, garnishes, kegs), for that bar or the whole venue. Food is 86'd from the kitchen screen only.
- Optional: add a Quick updates screen on the till's web browser, so bar staff can 86 bar stock without leaving the till. It's an extra screen, not a replacement for the bar board.
- Front of house taps −1 as they sell a counted item. The last one 86s it everywhere.
- A new 86 fills every screen that needs it until someone taps Got it.
- Made a mistake? Tap Undo straight away. The board clears itself overnight.
If a board says a station is offline, check that screen is on, awake and connected to the wifi.
